Project Overview

This case study focuses on the Onboarding New Employees module, a part of the larger Enterprise Management System (EMS). The goal was to digitally streamline the onboarding process, making it faster, more transparent, and user-friendly for both HR teams and new hires. By replacing fragmented manual processes, this module provides a seamless and engaging experience while integrating with the broader EMS platform.

Problem Statement

  • Onboarding was manual, involving multiple forms, emails, and approvals.
  • HR teams struggled to track the status of new hires.
  • New employees often experienced delays and confusion.
  • Lack of centralized system led to repeated follow-ups and errors.

Goals & Objectives

  • Simplify onboarding for HR and employees.
  • Reduce delays and errors in the process.
  • Provide clear visibility into progress and pending tasks.
  • Create a modern, engaging digital experience that reflects company culture.

Design Process

The onboarding module was created using a three-phase approach: Discovery & Research to understand user pain points, Information Architecture & User Flows to map a clear step-by-step workflow, and High-Fidelity UI Design to deliver an intuitive interface with progress indicators and interactive guidance.

Research & Insights

  • Conducted interviews with HR staff and recent hires to understand pain points.
  • Observed onboarding workflows and mapped the steps required for document collection, training, and system access.

Key Findings

  • Employees wanted a single interface to complete all tasks.
  • HR needed tracking tools to monitor onboarding progress.
  • Automated reminders and notifications were highly desired.

EMS Onboarding Workflow

The UPS workflow guides users through managing their deliveries seamlessly. Customers can schedule, reschedule, or reroute parcels, choose pickup points, authorize safe drop-offs, and track shipments in real time. Each step is designed for clarity and efficiency, minimizing errors and ensuring a smooth, reliable delivery experience.

UI Design

Designed a clean and intuitive interface for new employees, featuring step-by-step guidance, progress tracking, notifications, and role-based access, ensuring a smooth and engaging onboarding experience.

Outcome & Impact
